Online meetings with external people? Help them get MFA

NSW Health is introducing Multi-Factor Authentication (MFA) for all M365 guest users on 27 November.

A guest user is an external user invited by a NSW Health staff member to participate in a Microsoft Team or was sent a NSW Health resource.

MFA is a vital security measure designed to protect sensitive information by requiring multiple forms of verification before granting access to our IT network.

According to MFA Program Manager, Jason Carmichael, NSW Health staff as part of their daily role often need to share information with external parties such as other NSW government organisations.

“Like the procedures at many government and non-government organisations such as financial institutions, this will add an extra layer of security and help keep our information safe,” Jason said.

What is the new process for guests?

When signing into the NSW Health sign-in page using their existing credentials, guest users will be prompted to download the Microsoft Authenticator application onto their phone.

After completing a few key steps, they will be required to enter the verification code on the NSW Health sign-in page, generated by the Microsoft Authenticator application.

The setup process is straightforward, and they will be guided through the authentication steps.

All guest users will be prompted to sign in using the Microsoft Authenticator application verification code every 14 days.

Should your guest require support, you will need to raise a SARA General IT Enquiry on their behalf, which is in line with the current process.

When sharing information with guest users, please allow sufficient time for the users to set up their MFA.
